Travel
Participants should not book travel before registering, but should have an estimate of the cost. Each attendee is responsible for their own travel costs. We expect that your travel expenses will be covered by your home department or college. Please talk to your department chair or director of undergraduate studies about travel support before registering. You can also ask an academic advisor or physics faculty member you know, or other mentor for guidance. You can also contact us for guidance in asking your department for travel funds.
If your department or institution is not able to cover travel expenses, funding is available. You will need to obtain clearance / permission from the CUWiP site by emailing your proposed travel itinerary and cost to cuwip@ua.edu. NOTE: we are only able to reimburse these costs in the event that they were first approved by an email from cuwip@ua.edu. Please contact us before the registration deadline if you require travel funding. Do not book travel before getting instructions from us on allowed expenditures and the reimbursement policy. You must show proof that your home department or college cannot pay for your travel cost, for example a letter from your department chair.
Once you have completed the application and registration process, we will contact you with full details of the travel reimbursement arrangements, if you indicate during registration that your department is unable to support your travel expenses.
Students are responsible for arranging their own travel to the conference. We encourage students to coordinate with other attendees from their institution or neighboring institutions through our Facebook page. Please be in communication with your local chair or faculty member if your department is reimbursing you for travel costs.
Please make sure to find the most economical way to travel. If researching flights, please search for economy only. If you are asking for travel support, you must have approval from the LOC (cuwip@ua.edu) before you book a flight. Keep copies of all tickets and boarding passes as they will be needed for reimbursement. If you are driving, keep copies of any expenses occurred including car rental, gas, tolls etc.
The last date to submit a request for travel support is December 14, 2018.
Lodging (for non-local students) and food will be covered by the conference.
